MSME Project Report for Bank Loan: Format and Example

Learn how to prepare an MSME project report for a bank loan, including project cost, means of finance, sales projections and DSCR.

This educational guide explains key considerations for Indian entrepreneurs and small businesses. Confirm current scheme rules and individual lender requirements before making decisions.

Why banks ask for a project report

A project report explains what the enterprise will do, how much investment is required, how the investment will be financed, and whether expected cash flows can support repayment. The depth of information depends on project size and the bank’s appraisal policy.

Suggested report structure

Include promoter background, business activity, market and customers, location and approvals, production or service process, plant and equipment quotations, project implementation schedule, total project cost, means of finance, working capital, projected profit and loss, cash flow, balance sheet, DSCR, risks and mitigants.

Example: project cost and finance

Consider a small manufacturing unit with building improvements ₹8 lakh, machinery ₹22 lakh, electrical installation ₹3 lakh, preliminary expenses ₹2 lakh and initial working capital margin ₹5 lakh. Total project cost is ₹40 lakh. Proposed promoter contribution ₹12 lakh and term loan ₹28 lakh. A separate working-capital facility, if needed, must be assessed without double-counting the initial margin.

Sales and profitability assumptions

Support projected turnover with installed capacity, achievable utilisation, expected selling prices, raw material requirements, staffing and operating costs. A projection that assumes 100% utilisation from the first month is often difficult to defend.

DSCR and repayment

A common indicative DSCR calculation is cash available for debt service divided by scheduled principal plus interest. The precise numerator and treatment of interest, taxes and other items can differ by lender; use the bank’s required methodology and test lower-sales scenarios.

Final verification checklist

Reconcile quotations to project cost, match means of finance to cost, confirm margins and contingencies, reconcile working capital with the operating cycle, and check that annual repayment matches the loan schedule. Identify all approvals needed before commercial operations.
